1. Direct graduation and degree processing for the University. Establish and document University processes regarding the procedures required for the maintenance of all graduation application and degree records. Responsible for all student Commencement pre-checks (i.e.: provisional honors, departmental major and minor requirements, college requirements, Minnesota State and WSU degree requirements, and all prior or current General Education requirements). Responsible for all student Graduation Degree Audits (i.e.: final honors, degree posting, departmental major and minor requirements, college requirements, Minnesota and WSU degree requirements, and all prior or current General Education requirements) required to certify that the student has successfully completed all graduation requirements and ensure integrity of the institution. Responsible for notifying students and their advisor(s) when the student does not meet the Commencement pre-checks and/or complete their graduation requirements. Coordinate, investigate, and provide solutions for students which often involve Academic Affairs, college deans, and academic departments to determine or resolve individual student issues regarding graduation requirements. Manage and maintain up-to-date working knowledge of the Minnesota State Integrated Statewide Record System (ISRS) graduation database modules (i.e., Grad App Tracking, Student Degree, and Degree Posting modules). Manage and maintain operation of WSU’s proprietary student graduation application processing system. Troubleshoot and resolve all issues regarding the graduation application process.
2. Direct the University’s utilization and serve as the expert in Degree Audit Reporting System (DARS) program and graduation planner. Establish and document University processes and procedures required to operate uAchieve which is the degree auditing system and graduation planner software which reflects Minnesota State, WSU, college, department, and general education requirements a student must meet for graduation. Stay current in the development and enhancement of uAchieve. Develop, maintain training materials and provide training for interpreting degree records to assist students, faculty and staff who advise students on academic progression to graduation. Ensure that both transfer course articulation and all degree requirements are properly programmed and correctly posted for students on their degree audit. Coordinate curricular programming issues with multiple departments and committees at Minnesota State and Winona State University. Troubleshoot and resolve all back-end administrative uAchieve issues regarding transfer articulation, codified program and course changes, department major/minor requirements, college requirements, degree requirements, and prior and current General Education requirements. Understand relational databases and create and prepare accurate reports and queries to monitor accuracy, activity and to create historical records. Direct the processing of transfer credits for enrolled students. Direct the resolution and provide advice to advisors and students on degree audit and graduation planner issues regarding transfer articulation, department major/minor requirements, college requirements, degree requirements, and General Education requirements.
3. Serves as the Registrar’s Office expert for Academic Curriculum. Establish and document University processes regarding the procedures required for creating and maintaining WSU’s curricular library. Manage and implement local procedural changes in response to Minnesota State conversions, upgrades and repairs to the Curriculum module. Develop and maintain WSU’s official curriculum library which houses all past and current courses, programs, and degrees offered by the University. Advise and coordinate with the Minnesota State Program office, WSU Provost, deans, academic department chairs, and IFO faculty committees, Academic Affairs Curriculum Committee (A2C2), Course and Program Proposal Subcommittee (CPPS), and the General Education Program Subcommittee (GEPS) regarding the curriculum library. Coordinate and verify curriculum information for the WSU Undergraduate and Graduate catalogs. Advise, troubleshoot and assist in the resolution of curricular issues regarding new, current, and revised programs and course proposals, department major/minor requirements, college requirements, degree requirements, and prior and current General Education requirements. Registrar’s Office expert on Minnesota State Program Inventory which is the official list of programs approved and offered at system colleges and universities. Advise and assist deans and department chairs in determining the parameters required in the curricular record (e.g., courses restricted to majors; GPA requirements; pre-requisites). Create and provide reports on curricular records to University stakeholders. Advise and review transfer pathway maps, articulation agreements, and MOU’s pertaining to degree completion at WSU.
4. Oversee the daily operations of the Registrar’s Office. Ensure student and University adherence to federal and state statutes, MnSCU Board Policy, University Regulations, and University Academic Policy. Identify initiates, prioritize work plans, provide training and assign, direct, and evaluate work of assigned state employees and student workers. As part of the Warrior Hub Leadership team this position will assist in the coordination of the Warrior Hub’s front and back-end services, ensure adequate staff training, assigned duties and staffing levels. Oversee and provide guidance in the day-to-day operations of transcript services. Provide specialized registration services for Scholarship, Transfer, International, and New Student registration and other registration events as required. Serve on campus-wide committees. (e.g., Commencement Committee; Financial Aid Appeals Committee; Catalog Committee.)
5. Perform other duties as assigned. Ensure the smooth functioning of the department and maintain the reputation of the institution as the educational solution of choice. Employee will pursue professional development by attending appropriate training and related professional memberships and conferences.
Minimum Qualifications:
  • A Bachelor’s Degree.
  • Four (4) years of higher education experience in student records and registration, admissions, student services, or related administrative/advising experience.
