Position Summary
The School of Engineering and Applied Sciences (SEAS) Office of Undergraduate Education seeks an innovative professional for the position of Admissions Assistant. This position provides direct administrative support of SEAS school-wide undergraduate advisement, recruitment, admission, and retention initiatives. We are particularly looking for candidates with good communication skills who can operate effectively in a diverse community of students, staff and faculty, and who share our vision of helping all students realize their full potential. This position reports to the Assistant Dean for Undergraduate Education.

Duties include:

Assist with managing the admissions process:
Handle a high-volume inquiries from prospective and current students and their parents, alumni, faculty, staff and other university constituents as SEAS undergraduate admissions and advisement representative.
Advise parents and students on the admissions process prior to meeting with the Academic advisors.
Manage SEAS Listserv requests and the SEAS undergraduate education email account.
Process necessary transactions on student records including credit hour overrides and relevant notes in EAB Navigate.
Manage and maintain confidential student records processed through office.

Provide Administrative Support:
Provide administrative support to the associate and assistant deans as well as the academic advisors.
Schedule student meetings with the appropriate advisor; manage appointments for twelve advising professionals in a variety of venues.
Manage advisor availability in EAB Navigate, adjusting drop-in and appointment functionality to serve students in an effective manner during high-volume advisement cycles.
Coordinate SEAS technical requests for EAB Navigate with central UB office.
Assist in coordinating special projects as needed.
Manage space inventory and key control. Monitor space security protocols. Process all supply purchasing through Shop Blue.

Inter-Office Communications:
Collaborate with department undergraduate coordinators, Directors of Undergraduate Studies, advisors, and faculty advisors to improve communication with advising office and to maximize the admissions process across the School. Represent the office on campus committees and working groups as necessary.

Supervise student assistants:
Hiring, training and scheduling student assistants to work in the Office of Undergraduate Education as the Office’s front-line reception staff, to ensure adequate support of office functions, quality customer service, and diversity among student staff.
Process student appointments (including 100 EAS student leaders) with SEAS Human Resources. Acquire confidential ID and financial forms according to the University guidelines on Category 1 data. Ensure that students are regularly and accurately submitting timesheets.
Maintain and reconcile the Department’s student assistant budget: provide monthly report to the administrative team.

Minimum Qualifications
Bachelor’s Degree required.
One year of relevant experience in higher education admissions or a related field.

Preferred Qualifications
Three years of experience in higher education working in admissions and specifically a diverse population of intern
