Departmental Overview

UC Berkeley's School of Law is one of the nation's great centers for legal education, ever exploring and pushing new intellectual boundaries while tackling urgent, real-world issues. Berkeley Law is known as one of the premier law schools for students who aspire to work in public interest and public sector ("PIPS") careers, including in non-profits, government, law firms serving the public interest, and more.

Berkeley Law's Career Development Office (CDO) has three full-time PIPS Attorney-Counselors who are responsible for providing support and guidance to students and alums who are interested in exploring PIPS careers. In addition to offering individual advice to all students seeking summer and post-law school PIPS work, the CDO's PIPS team collaborates with centers, faculty, other Berkeley Law units, and other law schools to offer over 20 programs each semester relating to PIPS careers, practice areas and issues. The PIPS team also maintains relationships with PIPS employers to facilitate hiring of Berkeley Law students and administers programs providing financial support to students and graduates in PIPS work.

The position of PIPS Program Coordinator will join the dynamic and innovative PIPS team and will provide administrative services and general operations support for PIPS programming in Berkeley Law's CDO, as well as general administrative support for CDO-wide events and services.

Responsibilities

  • Administers a defined operational program and activities within Berkeley Law within the following functions: finance, facilities, payroll, space planning, student services, event support & coordination, communications, informational technology, and/or safety.
  • Oversees the day-to-day coordination and general administrative operations of the PIPS Program.
  • Serves as the administrative point of contact for the program and responds to all administrative inquiries.
  • Liaises with IT/Media/Facilities on program needs.
  • Completes tasks of moderate scope and complexity and exercises independent judgment within the defined guideline and practices to determine appropriate action.
  • Responds to requests for information and ensures that records and information are current and accurate.
  • Participates in professional development and training opportunities.


Events Planning and Support:

  • Plans, coordinates, manages, and assists in the planning of PIPS-related events throughout the academic year (such as PIPS Graduation, PIPS Career Fair, PIPS speed networking events, and the Fellowship Reception) and provides general administrative support for CDO-wide events and services.
  • Supports and coordinates meeting and event logistics to ensure that room reservations, catering, materials preparation, and outreach to appropriate constituents are executed accordingly.
  • Serves as liaison with the Business Services Office and Event Services Team at Berkeley Law, as well as external constituents (if any), when planning and executing events.


Financial Support and Administration:

  • Processes financial transactions and functions as a resource on issues such as researching complex financial discrepancies, escalated customer service problems and vendor concerns.
  • Processes business transactions including all invoices and reimbursements in BearBuy, and researches and resolves vendor issues as required.
  • Ensures compliance with federal and state fiscal requirements and internal campus policies, and makes recommendations to maintain compliance as necessary.
  • Assists with travel arrangements for invited speakers, staff, and students.
  • Purchases and processes reimbursements for supplies and other items.
  • Collaborates with internal and campus-wide financial experts on best practices and to properly manage reimbursements and expenditures.


Communications:

  • Supports PIPS communications efforts, including social media and expansion of PIPS website pages.
  • Prepares and/or assists with drafting written and electronic materials.
  • Creates and maintains listservs and mailing lists by managing a contact database and alumni directories.
  • Creates and maintains web and social media presence, and resolves website challenges in coordination with Information Security & Technology (IS&T) and other various departments to keep information accurate, timely and flowing between students, faculty, alumni/friends and the school.
  • In collaboration with staff and faculty, develops newsletters, publicity materials, annual reports and other publications for PIPS
  • Ensures that the program's web presence is optimized, and that web content is dynamic and current; updates and expands PIPS resources, such as guides and videos.
  • Completes other duties within the scope of this classification as assigned.


Administration of Bridge and Public Interest Fellowship (PIF) Program:

  • Berkeley Law offers two post-graduate fellowship programs - the Bridge Fellowship and the Public Interest Fellowship-- to support JD graduates pursuing careers in public interest or public sector work. Dozens of graduates apply to these fellowships each year.
  • Serves as the administrative point of contact for the program and responds to all administrative inquiries.
  • Updates and distributes information to students about the program.
  • Coordinates the application process, updates applications, troubleshoots application issues as they arise.
  • Maintains a current and accurate spreadsheet of fellows, providing instructions to the selected fellows about the stipend payment process (and troubleshooting that process as needed).
  • Prepares agreements between UC Berkeley and host organizations and/or between fellows and Berkeley Law.
  • Assists fellows throughout the period of their fellowship to insure compliance with their reporting obligations to the School.


Administration of Summer Grant Program:

  • The Berkeley Law summer public interest grants ("Edley Grants") are available to all students spending their summers in non-profits, government, or judicial externships who have met certain eligibility criteria. In a given year, between 250 and 300 Berkeley Law students apply for and receive Edley Grants. The Edley Grants are supported by several different funds, including numerous individual student group and donor-supported funds with their own eligibility criteria.
  • Serves as the administrative point of contact for the program and responds to all administrative inquiries.
  • Updates and distributes information to students about the program.
  • Coordinates the application process, including facilitating student groups' own selection processes for their specific summer fellowships, troubleshooting student issues with applications as they arise, evaluating applications and resolving eligibility issues.
  • Matches individual applicants with the appropriate donor-supported funds and/or liaises with donors to facilitate their selection of recipients for their funds.
  • Interfaces with other units to order the grant payments and keep donors updated about the students receiving their funds.
  • Generates reports for internal and external stakeholders about the program.


Required Qualifications

  • Knowledge of a variety of administrative operations activities such as events planning, fundraising processes, website management, finance and accounting, and contracts and grants regulations and guidelines.
  • Working knowledge of or the ability to quickly learn common campus-specific and other computer application programs, such as BearBuy and UC travel and reimbursement systems.
  • Excellent communication and interpersonal skills to communicate effectively with all levels of staff, both verbally and in writing.
  • Strong skills in short term planning, analysis and problem-solving, as well as successful track record in a customer-, constituent- or student- services position.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Demonstrated ability to prioritize, exercise initiative and sound judgment, while effectively executing multiple projects with competing deadlines.
  • Excellent computer skills, including proficiency with MS Office, Google Suite, videoconferencing platforms, and the ability to learn new computer programs and software systems.
  • Strong attention to detail.
  • Ability to be a self-starter, to take initiative and work independently as well as on a team.
  • Ability to think creatively to solve problems and develop solutions.
  • Ability to use discretion and maintain all confidentiality.
  • Ability to use sound judgment in responding to issues and concerns.
  • Ability and desire to work with diverse populations, including students, faculty, academic administrators, and practicing lawyers, with diplomacy, poise, and tact.

Education/Training:

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The budgeted salary or hourly range that the University reasonably expects to pay for this position is 33.00 (step 5.0) - 35.29 (step 8.0).

  • This is a 100%, full-time (40 hours per week), career position that is eligible for full UC benefits.
  • This position is non-exempt and paid bi-weekly.
  • This is a hybrid position, eligible for up to 20% remote capability.
