The Manager of Conference and Event Services markets and manages the planning, scheduling, and coordination of external events including catering sales. This position is responsible for developing an external customer base, marketing available university conference classroom and meeting space to external customers, and managing the facility rental process. Responsible for coordinating on-campus services for these external group events and developing collaborative working relationships with campus event service departments to ensure an experience that exceeds the external customer’s expectations and maximizes the efficient use of internal service provider resources. Responsible for everything from booking to billing including selling menus that reflect the complex needs of Special Event clients.
Special Event Sales: With an emphasis on the Anderson Student Center, markets and manages year-round facility rental services to external meeting planners; solicits appropriate new business aligned with university mission and policies, responds to RFP’s; tour prospective clients, books reservations, creates and signs contractual Agreements and other forms as required, oversees confirmation process, schedules event using internal business processes, coordinates on-site event management and support during events, and audits set-up information for external meeting requests. Designs hard copy promotional publications. Catering Sales to external organizations. Work with catering team to develop and determine pricing of specialty menus for external organizations while increasing food and beverage revenue. Using existing special event menus, develop food & beverage experiences for external special events and negotiate pricing following guidelines as set by Dining Services. Communicate details and demands of external clients to catering operations via Event Master Software; work with Dining Services and Catering departments for seamless execution of events for clients within UST designed processes. Develop collaborative relationships with internal campus service providers: Dining Services, Facilities Management, IRT, Public Safety and Parking Services, Business Office, and Anderson Student Center Staff, to leverage external service price points and maximize efficient service to external customers. Attends weekly Operations Support Group (OSG) meetings. Attends local, regional and/or national trade shows as budget allows like Rejuvenate Marketplace, Connect Marketplace, RCMA, etc. as necessary for the purpose of soliciting new accounts. Establishes and maintains effective relationships with state, business and local organizations. Serves as the department’s liaison with Visit Saint Paul and other associations assuming leadership roles when possible. Creates monthly Invoice Preparation Sheets for the accurate billing statements of external groups including invoices from Dining Services, Facilities Management, Public Safety and miscellaneous charges. Reports monthly on booked and lost business, and progress toward annual revenue goal. Supervises year round student employee staff, conducting interviews, training, scheduling, evaluations and termination.
Minimum qualifications: A Bachelor’s degree in sales, marketing, business, or a related fieldAt least five years of professional events and conference management experienceAn equivalent combination of education and experience from which comparable knowledge and skills have been acquired may be substituted.
